  1. Click Insurance Check on the left-navigation bar.
  2. Enter your VCP credentials for any partner accepted at your practice.
  3. Select the location in the dropdown menu, if required.
  4. Click Activate on the bottom right.  
  1. Enter the required patient information in the Patient Provider Search/Filter.
Note:  
  • Once you’ve entered minimally required patient information, the searchable VCPs will populate under the Patient Provider Search/Filter with a green check mark to the left of the VCPs name. 
  • Each VCP requires different information to search their database within Insurance Check.  Refer to the “Search Tips” section of this article to find out what information is required to search eligibility & benefits for the participating VCPs.
  1. Click Search.

Below are additional tips & information for searching across each participating VCPs:  

VSP

  • Required to search by the primary member
  • Search by Name, DOB, and Last 4 of SSN or Member ID# 
    • If a member has a unique Member ID#, you are required to use that instead of the last 4 of the SSN
    • You can search by Member ID# only, and Insurance Check will only search for a result in VSP
  • To pull eligibility and benefit information in VSP, we create an authorization for the entire family, pull the eligibility and benefits, then immediately remove that authorization so there are no outstanding authorizations held for the family. 
  • To pull an authorization for a member, click on the authorization button, and then click the box of the member you would like to pull the authorization for
    • Authorizations are pulled for all services and materials 
  • Results are pulled for the primary as well as all dependents. 

Aetna EyeMed

  • Required to search by the primary member
  • Search by Name & DOB 
  • Click on Add Dependent Patient Information to search for additional members 
    • Future eligibility searches will include results for all added members

EyeMed

  • Not required to search by the primary member
    • You can search by any family member to pull results for the entire family.
  • Search by Name and DOB
  • Search by Member ID# only
  • Results are pulled for the primary as well as all dependents

Spectera 

  • Not required to search by the primary member
    • You can search by any family member to pull results for the entire family.
  • Search by Name and DOB
  • Results are pulled for the primary as well as all dependents

Davis 

  • Required to search by each individual member
  • Search by Name and DOB
  • Click on Add Dependent Patient Information to search for additional members
    • Future eligibility searches will include results for all added members

Superior

  • Required to search by each individual member
  • Search by Name and DOB
  • Click on Add Dependent Patient Information to search for additional members
    • Future eligibility searches will include results for all added members

Existing Patients in Insurance Check 

  • Once a patient has been searched in Insurance Check, you can begin typing their information in the search engine, and it will filter all previously searched patients by that information.
  • Click the Refresh Eligibility button to automatically run eligibility and benefits for the applicable members.

Eligibility Results 

  • All eligibility results expire at midnight. every night.
    • This ensures that if staff is accessing a patient’s eligibility, they always have the most up-to-date version of that patient’s eligibility.
  • Utilize Insurance Check at the initial call when a patient schedules an appointment
    • Start in Insurance Check l and run the search
    • Switch over to your PMS/EHR to add patients on the schedule or update patient demographics
      • Let the Insurance Check search happen in the background
    • Return to Insurance Check to confirm eligibility and benefits
    • Recommend scheduling other family members based on available eligibility information
  • Refresh eligibility for a patient at a set time before the patient’s scheduled appointment to ensure that benefits have not changed.
    • If that patient has VSP, pull the authorization for that patient at this time.

If you are interested in adding Insurance Check functionality to your services, you can fill out the contact request within your portal:

  • Click Insurance Check on the left-navigation bar.
  • Fill out your contact information. 
  • Click Submit.
  • An account manager will contact you shortly to discuss the details.

Can I access Insurance Check if my portal is down? 
Yes, if you cannot access your portal, click the link to navigate to the PracticePal Login Page.

Note: If you have previously entered your VCP credentials in Insurance Check in your portal, then this webpage should automatically sign in. 
  • If you are not automatically logged in, then enter the primary email address associated with your account, and click Forgot Password? at the bottom of the login page to receive a reset password email. 
  • Once you've designated your password, return to the  PracticePal Login Page, and sign in.
